About SPUN

The Society for the Protection of Underground Networks (SPUN) was founded in 2021 with a mission to map, protect, and harness the planet’s critical fungal networks. We are building the most comprehensive atlas of Earth’s mycorrhizal biodiversity, scaling and accelerating the speed of science around mycorrhizal fungi.

SPUN conducts scientific research to understand the diversity and functions of mycorrhizal fungi — the microscopic, network-forming, underground fungi that form symbiotic relationships with plant roots. Our team of scientists and advisors includes the world's leading mycorrhizal fungi experts. We use our findings to educate individuals, companies, landowners, and governments on the importance of protecting and managing underground ecosystems. In collaboration with researchers and local communities, we are accelerating efforts to protect the underground ecosystems that have been largely absent from conservation and climate agendas, and exploring the impacts of mycorrhizal fungi in global restoration projects.

In this regard, we prioritize under-researched areas and collaborators in the Global South for our work, while providing capacity-building grants and partnership opportunities with local researchers. We are also actively working with Indigenous communities in Chile and Ecuador, and will continue to expand our partnerships with other Indigenous communities, to integrate non-western science ways of knowing into our work.

Work with a global team. SPUN’s team members operate from various locations worldwide, embracing remote work for flexibility and work-life balance. Our team’s global presence aligns with our research expeditions, which have taken us to remote ecoregions in Tierra del Fuego, Ghana, Kazakhstan, Corsica, the Atacama, and the Galapagos Islands.

About the Role

SPUN is seeking an experienced Executive Assistant capable of supporting the Executive Director (ED), while also serving as a support to the organization’s other administrative needs. The ideal candidate will have deep experience in managing a wide array of tasks and projects, with the flexibility to context-switch from larger projects to urgent requests. Of particular importance is the Executive Assistant’s experience with and understanding of what it takes to support an Executive Director. This role requires excellent, clear communication skills, a calm personality under stress, and most importantly the ability to anticipate the Executive Director’s needs and next steps. This role requires a candidate who is adept and fluent in learning and navigating different web applications and software, and who has an independent and resourceful mindset. This role reports to the Executive Director of SPUN.  You will work remotely from your home office with regular in-person meetings in Amsterdam. Candidates should state whether they are interested in joining full-time or part-time, and SPUN will select candidates based on best fit. About You

  • You have 3-4 years of experience as an Executive Assistant or an equivalent role
  • You are fluent in English
  • You pride yourself on having excellent writing skills
  • People describe you as having excellent interpersonal communication skills
  • You are proactive and able to anticipate needs
  • You are self-sufficient, well-organized, and tech-savvy
  • You are based in Amsterdam and available for in-person meetings

Bonus Points

  • Fluent or proficient in at least one other language
  • Experience in working with diverse, international teams
  • You have worked at non-profits or start-ups
  • Flexibility — there will be occasional work outside of normal hours

Your Day To Day

Support Executive Director

  • Manage ED’s calendar, schedule meetings
  • Manage calendar, respond to emails, track correspondence
  • Manage all bureaucratic requests
  • Track deadlines, manage milestones, execute deliverables
  • Create itineraries for ED travel
  • Manage ED’s travel for expeditions, events, conferences, etc.
  • Manage finance tracking system and receipts
  • Track and manage conferences
  • Handle all invitations for speaking engagements
  • Support with travel bookings for SPUN expedition partners
  • Support the university in specific, SPUN-related tasks
  • Provide note-taking in designated meetings, turn notes into action points and next steps
  • Assist ED and Development Officer in managing SPUN’s roster of relationships with funders, advisors, and supporters
  • Assist with projects at discretion of ED
  • Support ED with managing and prioritizing imminent tasks

Support Managing Director

  • Assist Managing Director with note-taking from certain meetings, keeping note of action points and assisting with next steps
  • Assist Managing Director with scheduling

Overall organizational support

  • Manage and plan internal team events, such as in-person gatherings
  • Support in arranging staff travel and event coordination for internal team events, including conferences or in-person gatherings
  • Assist in planning and organizing fundraising events
  • Support expeditions team in creating itineraries for expeditions team travel
  • Support Operations Manager with note-taking or organizing team meetings
  • Manage external email inquiries coming into SPUN and direct to appropriate staff when needed
